Equipment rental agreement
The short version
A plain-language summary for convenience. The full agreement below is what you sign, and it controls if anything here differs.
- Confirming your booking. Your booking is confirmed once we approve it, you sign, and your payment goes through. Section 2
- Paying. Within 14 days of your rental you pay in full. Otherwise 50% now and the balance is charged to the same card 7 days before. Your deposit is part of your total. Section 2
- Checking the equipment. We test everything before it leaves and after it returns. Check it at handoff and tell us right away if anything is missing, damaged or not working. Section 3
- Looking after it. From handoff until we get it back, keep the equipment secure, dry and used as intended. Don’t leave it unattended in public, and don’t open or repair it. Section 4
- Loss or damage. You’re responsible for theft, loss and accidental damage while it’s in your care, but not ordinary wear, existing defects or our mistakes. Any claim is itemized and you get 7 days to respond before your card is charged. The damage waiver covers accidental damage. Section 5–6, 14
- Picking up. Bring a photo ID. We place a refundable card hold that’s released when everything comes back in good shape. Section 13
- Your venue. Give us accurate access, parking, power and venue approvals, and tell us in advance about stairs, long carries or restricted access. Section 7
- Returning it. Return everything at the agreed time and place. Ask before the return time if you need longer. Late days are charged at the rate in your schedule. Section 8
- Cancelling or changing plans. 30+ days before: full refund. 7–29 days: half your deposit back. Under 7 days: deposit kept. Or move to another open date for free with 7 days’ notice. Section 9
- If something stops working. Stop using it and contact us. We’ll troubleshoot or replace it, or arrange a proportionate refund if we can’t. Section 10
- Insurance. Check whether your own insurance covers rented equipment, theft and accidental damage. Section 11

Each booking includes its customer, equipment and value schedule, rental dates, delivery/return details, final charges and deposit.
1. Parties, equipment and rental period
The rental company identified in the booking schedule (Company) rents the listed equipment to the named customer (Renter) for the dates, location and services stated in that schedule. The schedule, equipment list, disclosed values, condition records and this agreement form the rental contract. The person signing confirms they are at least 18 and authorized to bind the named Renter. Equipment remains Company property. No sale, transfer, pledge, sublease or lending is permitted without Company’s written approval.
2. Approval, deposit and remaining balance
Submitting a request does not confirm a booking. After Company approves the request, Renter must accept this agreement and pay the amount due at booking shown in the schedule. If the rental starts within 14 days, the full total is due at booking. Otherwise a deposit of 50% of the total is due at booking and the remaining balance is charged automatically to the card used for the deposit on the balance due date in the schedule (7 days before the rental starts). Company will email a receipt. If that charge fails, Renter must pay the balance before equipment is released or setup begins. The deposit is part of the rental total, not an additional fee. The booking is confirmed when Company verifies payment and issues confirmation.
3. Equipment list, values and condition checks
Company tests equipment before it leaves and again after it returns, and records its condition and included accessories. At handoff, the parties check quantities, serial numbers where applicable, cables, stands, cases and existing damage. Renter must promptly identify missing, damaged or nonworking items and stop using unsafe equipment. Acceptance does not waive a defect that could not reasonably be detected at handoff. Photographs, test results and the signed condition checklist may be used to document condition.
4. Custody, permitted use and security
Renter is responsible for reasonable care and secure custody from documented handoff until Company actually receives the equipment back. Do not leave equipment unattended in public areas, unsecured vehicles or locations accessible to unauthorized people. Use equipment only at the agreed location, for its intended purpose, within manufacturer instructions, and with suitable power and ventilation. Protect it from rain, liquids, excessive heat, dust, impact, unstable mounting and unsafe sound levels. Do not alter, open or repair equipment, defeat safety devices or change wireless settings without approval. Company-operated equipment remains under Company’s operational control; responsibility follows each party’s actual custody and conduct.
5. Theft, loss and damage
To the extent permitted by applicable law, Renter bears the risk of theft, disappearance and accidental physical damage while equipment is in Renter’s custody, including loss caused by guests or people Renter allows to access it. Renter is not responsible for ordinary wear, pre-existing defects, or loss caused by Company’s negligence or wrongful conduct. Notify Company promptly of any incident, preserve relevant evidence, and report suspected theft to law enforcement when appropriate; provide the incident or report number and cooperate with reasonable recovery efforts. Do not abandon, conceal or dispose of damaged equipment.
6. Documented repair and replacement costs
For loss or damage for which Renter is legally responsible, Company may recover reasonable, documented repair costs or, if repair is impractical or the item is not returned, the reasonable cost of equivalent replacement equipment, including necessary shipping and applicable tax. The values disclosed before acceptance are estimates, not automatic penalties. Before charging, Company will send an itemized claim with supporting photographs, assessments or receipts and allow Renter at least 7 days to respond. Renter authorizes Company to then charge the card on file for the itemized amount, or Renter may pay another way within that time. Amounts recovered from insurance, salvage, later return or third parties reduce the claim. No speculative lost profits, punitive multipliers or prohibited consequential damages are charged.
7. Delivery, access, setup and operation
Renter must provide accurate access instructions, parking and loading arrangements, safe electrical power, suitable placement and any venue approvals by the agreed time. Hotels and casinos may charge outside-vendor, power or loading fees or require proof of insurance; Renter is responsible for venue fees unless the schedule says otherwise. Stairs, long carries, restricted access, unusual power needs and changes to the agreed scope must be disclosed and priced in writing. Delivery, setup and pickup are included only when listed in the schedule; delivery or pickup before 8am or after 10pm is charged as stated in the schedule. An audio operator, DJ, host, song subscriptions, laptop and displays are included only if expressly listed.
8. Return, extensions and missing items
Return every listed item and accessory at the agreed place and time, in substantially the condition received except for ordinary wear. Never leave equipment outside or at an unattended drop point without written authorization. Request an extension before the return time; availability is not guaranteed. Late returns are charged at the late-return rate in the schedule for each additional day. Company must reasonably mitigate losses. Delayed inspection does not waive a documented latent issue, but Company will notify Renter promptly after discovering it.
9. Cancellation, changes and refunds
Notify Company in writing as soon as plans change. The cancellation schedule shown in the booking schedule and accepted before payment applies; if none is shown, cancellation charges are limited to reasonable, documented, nonrecoverable costs. Refunds are returned to the original payment method. Cancellation charges cannot exceed the amount paid and cannot duplicate other recovery. Changes to date, venue or equipment require written approval. If Company cannot provide the agreed service, Renter may accept an agreed substitute or receive a full refund for the unprovided portion. Any mandatory consumer remedies remain available.
10. Equipment problems and events outside either party’s control
Report a malfunction promptly and stop use where continued operation could cause harm. Company will make reasonable efforts to troubleshoot or provide suitable replacement equipment, subject to availability. If the agreed function cannot be supplied, the parties will arrange a proportionate refund or other remedy required by law. Weather, unsafe conditions, power loss, venue restrictions and other disruptions are assessed according to the actual cause and work performed; they do not automatically excuse a party’s negligence or eliminate mandatory rights. No implied statutory warranty is waived by this agreement.
11. Insurance, claims and lawful recovery
Renter should check whether their insurance covers rented equipment, theft and accidental damage. Any required proof of insurance must be stated in the schedule before acceptance. Insurance does not replace the parties’ obligations, and Company must credit amounts actually recovered for the same loss. Company may pursue payment, return of property or a civil remedy through lawful procedures. This agreement does not permit trespass, breach of the peace, unlawful repossession or threats of criminal action to collect a civil debt. Court costs and attorney fees are recoverable only where applicable law or a court permits them. Neither party is required to indemnify the other for that other party’s negligence or misconduct.
12. Electronic acceptance, records and disputes
By typing their name and checking the acceptance box, Renter intends to sign the displayed agreement electronically and consents to electronic delivery of this booking’s records. Renter can print or save the agreement and may request a paper copy or an alternative signing method before accepting by contacting Company; electronic consent is optional, although online booking requires it. Company retains the accepted version, booking schedule, signer name, acceptance time and technical audit information. Keep the private booking link confidential. Contact Company first to discuss a dispute. Nevada law applies except where mandatory law requires otherwise; no mandatory consumer right or lawful venue is waived. Changes require both parties’ written agreement. If a provision is unenforceable, the rest remains effective to the extent permitted by law.
13. Saved card, pickup ID and security hold
By paying online, Renter authorizes Company to save the card through its payment processor (Company never sees or stores the full card number) and to charge it only for: the scheduled balance; late-return and after-hours charges listed in the schedule; and itemized damage or loss claims made under section 6. For customer pickups, Renter must show a government photo ID matching the booking name, and Company places a temporary security hold on the card for the amount in the schedule. A hold is an authorization, not a charge. It is released when the equipment is returned and checked, normally within 2 business days, or may be applied to an itemized claim under section 6. Card issuers may take several days to show a released hold.
14. Damage waiver
If the schedule lists a damage waiver, Company waives Renter’s responsibility under sections 5 and 6 for accidental physical damage that happens during normal use within the rental period. The waiver does not cover theft, loss, disappearance, liquid damage, damage from misuse, unsafe or unauthorized use, intentional damage, or equipment left unattended or exposed to weather. The waiver fee is non-refundable once equipment is handed over. The waiver is not insurance.
